Community Response Template for Road-Safety Investigations
For Community engagement teams and Council officers and Traffic consultants
Use this template to respond to a road-safety concern after an officer or consultant has reviewed the available information. It helps explain what location was considered, what evidence was used, what it can and cannot show, and what will happen next. It does not replace the investigation record or promise a speed limit, enforcement action or physical works before the relevant authority, funding and approval processes are complete.
When to use this template
Use it for a clear, location-specific response to a resident, community group or elected representative after a road-safety concern is assessed. Do not use it as a substitute for emergency reporting, legal advice, enforcement direction or a public-consultation process.
Copyable response structure
| Response field | Complete with |
|---|---|
| Acknowledge the concern | [Thank the person; identify the exact road location and issue] |
| Explain what was considered | [Evidence and dates, including site review or prior decision] |
| State the finding plainly | [What the evidence indicates and key limitations] |
| Confirm the next action | [Referral, further assessment, monitoring, project link or no further action now] |
| Explain dependencies | [Authority, design, consultation, funding or approval where relevant] |
| Review trigger/contact | [What could prompt review and appropriate contact route] |
Road-safety management guidance supports coordinated decision-making, while Safe Speed and Safe Roads guidance place speed and infrastructure decisions in their broader context. Guide to Road Safety Part 7, Guide to Road Safety Part 3, Guide to Road Safety Part 2
Fictional worked example
| Response field | Example entry |
|---|---|
| Location/concern | Fictional Rivergum Road near the community hall; reported evening speeding. |
| Evidence considered | A location-specific site review, prior request record and the available speed data, with collection dates stated. |
| Plain finding | The information does not answer the reported evening question because the available data covers another period. |
| Next action | Council will define whether targeted evidence is needed and will update the requester after that assessment. |
| Caveat | No treatment or speed-limit change is promised; any proposal would follow the relevant authority process. |
Limits and approval caveats
Tailor every response to the evidence actually reviewed. Do not imply that a complaint has been dismissed, that a treatment is approved, or that enforcement can be directed by Council where that is not its role. Keep the response, evidence links and decision against the same location; where your organisation uses XVision Command, follow its configured record and correspondence practices.
